Effective Date: 18/03/2024

By registering to participate in our programmes you consent to the subsequent terms and conditions:

    1. By completing and submitting the registration form, you agree to participate in the event organised by ThinkingBeyond.

    2. The information provided in the registration form, including your full name, preferred name, age, grade, high school/university name, and country name, will be used solely for the purpose of event registration and communication.

    3. You must provide accurate and truthful information during registration. Any false or misleading information may result in disqualification from the event.

    4. Your participation in the event is voluntary, and you may withdraw at any time by informing the event organizers. Any planned absence should be requested to the programme’s email address shared with you as soon as possible and no later than by 8:00 GMT on the day before the absence. Unplanned absences should be reported immediately when they occur to your Programme Support Coordinator, who will register your absence. It is at the discretion of the organisers to disqualify participants with poor attendance records.

    5. Exemption from Live Participation: Participants residing in time zones where live events are scheduled at unreasonable or impractical hours (e.g., late night, early morning, or during school hours) may be exempt from mandatory live participation. An option to apply for such exemption will be provided during the final submission phase of the event. Exemptions will only be granted under these specific time zone constraints.
For any other reasons of absence, participants must submit a request for absence to the organisers via email, as outlined in Clause 4. Such requests will be reviewed on a case-by-case basis and require advance notice.

    6. By participating in the event, you consent to the use of your name and any submitted work for promotional and marketing purposes related to the event as specified under point 5 “Sharing of Information” and point 6 “Use of Event Photography” of our Privacy Policy. Any publication resulting from work done during this event has to mention the event and the organisers ThinkingBeyond. The authorship of any publications will reflect each party’s contributions in accordance with academic standards and customs.

    7. The event organisers reserve the right to make changes to the event schedule, format, or content at their discretion. Any updates or changes will be communicated to participants in a timely manner.

    8. Your privacy is important to us. We will handle your personal information in accordance with our privacy policy. Additionally, we will use Discord as the central communication platform for the event, Microsoft Teams for the live sessions, and Google Colab for coding. By participating, you consent to downloading and installing any necessary applications and creating a Discord account if necessary. We refer to the respective third-party privacy policies for the apps we will use.

    9. By participating in the event, you agree to abide by any additional rules or guidelines provided by the event organisers. In particular, if you are a participant aged 18 or older you agree to comply with the terms and conditions laid out in our Child Protection Clause.

    10. The event organizers reserve the right to disqualify any participant who violates these terms and conditions or engages in any inappropriate behavior during the event. Participating in this event is selective, and participants are expected to commit to the program and participate actively during the event, completing the assigned course work and research project to the best of their ability. It is at the discretion of the organisers to disqualify participants who show an overall lack of effort, which may negatively impact morale and motivation.

    11. Admittance to the Research Stage of our programmes is subject to completion of all mandatory work and attendance of the live sessions during the Course Stage, and at the discretion of the organisers. Certificates will only be awarded to participants who complete a research project, do a poster presentation, have a complete attendance record, and complete all the mandatory work.

    12. If you have any questions or concerns regarding these terms and conditions, please contact the event organisers for clarification via the programme email.

By submitting the registration form, you acknowledge that you have read, understood, and agreed to these terms and conditions.
